When sourcing fabric from India, understanding the export documentation that should accompany your shipment ensures smooth customs clearance and compliance in your destination country — and lets you spot a missing or incomplete document before it becomes a hold-up at your own border rather than a problem your supplier needs to fix.

Standard Export Documents on Every Shipment

Commercial Invoice — lists the buyer, seller, fabric description, quantity, unit price, total value, and payment terms. Required for customs clearance in essentially every destination country.

Packing List — a detailed breakdown of exactly what's in each package: fabric rolls, metres per roll, gross weight, net weight, and dimensions. Required for both customs processing and logistics/freight handling.

Bill of Lading (for sea freight) or Airway Bill (for air freight) — issued by the shipping carrier as confirmation that goods are in transit and as the shipping contract itself.

Certificate of Origin — confirms the fabric was manufactured in India, which is required to claim preferential duty rates under applicable trade agreements (such as GSP schemes or bilateral agreements like the India-UAE CEPA). Issued by Export Promotion Councils or Chambers of Commerce, not by the manufacturer directly.

GST Invoice — the Indian tax invoice required for any export shipment originating from India.

Certification Documents (Where Applicable)

For certified fabric, the certification documents need to be tied to the specific shipment, not just a general company-level certificate. GOTS Transaction Certificate confirms the specific fabric lot in that shipment is GOTS certified. OCS Transaction Certificate does the same for OCS-certified fabric. BCI Claim Documents cover BCI-certified cotton fabric. OEKO-TEX Certificate is a scope certificate confirming the fabric type is certified. If a supplier can only provide a general company certificate and not shipment-specific documentation, that's worth asking about directly.

Pre-Shipment Inspection

Pre-shipment inspection reports are available on request from independent third-party inspection companies (SGS, Intertek, Bureau Veritas among others), and are worth requesting for first orders with a new supplier and for large bulk orders, as an independent check before goods leave India.
